When you use FarmFix, we collect the messages you send and the assistant's responses, along with the equipment model you are enquiring about, a session identifier, and the time of your interaction. If you use the "Need a hand picking a mower?" tool, we also collect the details you provide about your operation (such as what you're cutting and what it's going into, your tractor, terrain, the area you mow per year, and whether you farm your own land or cut for others) and the recommendation you receive. If you request a quote, we also collect the contact details you choose to give us (your name, and a phone number and/or email address) so that FarmShop can get in touch about your enquiry. We don't otherwise collect personal information unless you include it in a message.
Chat logs and equipment documents are stored securely in New Zealand with a reputable cloud provider. Some processing, including generating the AI responses and sending quote emails, takes place overseas. When you request a quote, your details are emailed to FarmShop and held in its email inbox. Access to stored data is restricted to authorised FarmShop staff only.
We use chat logs to understand what equipment questions are being asked, identify gaps in our knowledge base, and improve the assistant over time. Logs may also be reviewed by FarmShop staff for quality assurance purposes. If you request a quote, the contact details you provide are used solely to respond to your enquiry and prepare your quote, not for marketing unless you ask us to.
Chat logs are retained for up to 12 months, after which they may be deleted or anonymised. Quote enquiries you send are kept in FarmShop's email system in line with our normal business email retention.
We do not sell or share your data with third parties for marketing or commercial purposes. We use established third-party providers to host the application, store your data, generate the AI responses, and deliver quote enquiries to FarmShop, and these providers handle your data under their own privacy policies. Because some of this processing happens overseas, your information may be disclosed outside New Zealand; we take reasonable steps to use only reputable providers with privacy protections comparable to the New Zealand Privacy Act 2020. Under the New Zealand Privacy Act 2020, you have the right to request access to information we hold about you, or ask us to correct it. You can also ask us to delete your data, which we'll do where we're able. To make a request, contact FarmShop at 0800 00 22 09 or sales@farmshop.co.nz. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner (0800 803 909 or privacy.org.nz).
Your IP address may be logged by our hosting provider and used for security and rate limiting purposes. It is not stored in our chat logs or linked to your queries.
In the event of a privacy breach that poses a risk of serious harm, we will notify the New Zealand Privacy Commissioner and affected individuals as required under the Privacy Act 2020.
FarmFix is an AI assistant designed to answer only from the equipment manuals and documents FarmShop provides. We do not connect it to the internet or any live data source, so its answers should be based on those documents.
While FarmFix draws directly from official equipment documentation, AI systems can misinterpret, omit, or occasionally present information incorrectly. You should always verify safety-critical information against the original manual or consult a qualified technician before carrying out any work.
FarmFix is an information tool, not a substitute for qualified mechanical or agricultural advice. For complex repairs, warranty work, or anything involving personal safety, please contact FarmShop or a certified service agent directly.
Your messages and the assistant's responses are not used to train AI models; they are used only to generate your answer. The third-party provider that runs the AI is bound not to use your data to train its models.
FarmFix is intended for equipment support queries related to FarmShop products. Please do not include sensitive personal information, confidential business data, or anything unrelated to equipment support in your messages.
